Repair Loan Device
The following section describes how to ship a loaner device as part of a repair process and then accept it back. You will learn how to create a sales order from the service order and process the subsequent return using the Service Receipt.
Note
This section describes only the shipment and return of the loan device.
Create a Sales Order for Shipping the Loan Device
For selected lines, you can create a sales order directly from the service order or the service item line. The created document is automatically recorded in the associated call. To create a sales order, you must first perform the Loan Device activity. There are two methods available:
1. FactBox "Service Activities"
In the Service Activities FactBox, select the Loan Device activity. The three blue dots indicate the selection.
Next, select Service Activity Group and then choose Run from the menu that opens. The system creates the sales order and opens it automatically.
2. Line Menu "Activity"
Run the Activity – All Activities – Loan Device function from the line menu. If multiple lines are available, select the desired item line first.
The sales order is created and opened automatically when the function is executed.
When creating the sales order, the system automatically copies the relevant data from the service order, including the customer and item. The default service code Loan Device determines the sales order type.
The location and bin are taken from the Loan Location Code and Loan Bin Code fields in the Service Setup.
Release the sales order. Ship the loan device using the warehouse shipment.
In the service lines, the system automatically creates the activities for shipping the loan device (Document Type = Transfer Sales Order) and retrieving it (Document Type = Transfer Sales Return), with the reference Loan Item. Shipping starts automatically as soon as the sales order has been created.
The return is initiated manually at a later date.
The item tracking information for the loan device is automatically stored in the Loan Item Tracking field of the service item line.
No status change occurs when the loan device is shipped or returned, as the loan device is recorded in the service lines of the service item.
Alternatively, the loan device can be recorded on a separate service item line.
Loan Device Return
To initiate the return of the loan device, open the service lines and select the line with Document Type = Transfer Sales Return.
Select Actions – Activity – Start Line to initiate the sales return for the transfer.
As with a service item, the return is processed using a Service Receipt.
